GPAS

The Graduate Planning and Audit System (GPAS) is a tool accessed through MyU that consists of two parts that work together: the planner and the audit. 

  • The GPAS planner helps students and advisors map out future coursework needed to complete a degree.
  • The GPAS audit, or advisement report, displays completed student progress toward degree requirements.

Training and access

If you are assigned the Graduate Education role of Graduate Program Coordinator (GPC), College Coordinator (CC), or Director of Graduate Studies (DGS), you will need to complete the GPAS System Training before you can access GPAS.

Faculty advisors who use GPAS are strongly encouraged, but not required, to complete the training.

Degree clearance

Degree clearance is the process of reviewing and approving students’ degrees for them to graduate. Review the GPAS clearance process guide for information about the process timing, deadlines, and tips for Graduate Program Coordinators (GPC) on how they can help with clearance.

Groups involved in degree clearance

The main groups involved in degree clearance are the following:

  • Graduate Program Coordinators (GPCs): GPCs review audits, submit exceptions, and work with students and instructors to help students complete needed requirements for degree clearance.
  • Graduate Student Services and Progress (GSSP): GSSP is the primary contact for degree clearance questions and communications. Contact GSSP at [email protected] for assistance.
  • Graduate Education Records Team (GERT): GERT reviews students’ degree progress and clears students when they complete their degree requirements. GERT is part of the Office of the Registrar.

GPAS Student Degree Progress report

The GPAS Student Degree Progress (SDP) report shows a student’s progress toward fulfilling degree requirements. Provided information includes:

  • Admit term
  • Description
  • Sub-plan
  • Units required
  • Units taken
  • If a GPAS planner was submitted

To access the SDP report, use the following path: Reporting Center > Student Services > Student Records. You can also find the report by entering “GPAS” as a keyword in the “Find a report:” field. 

GPAS Degree Clearance report

GPCs can run the Degree Clearance report to get updated information about degree applicants in most master’s, certificate, doctoral, and minor programs using GPAS. At this time, MBA, JD, and LLM degrees are not supported.

Note: Students will not graduate if they have not fully satisfied both their major and minor requirements within the GPAS audit.

To access the GPAS degree clearance report, use the following path: Reporting Center > Student Services > Degree Clearance > GPAS Degree Clearance. You can also find the report by entering “GPAS” as a keyword in the “Find a report:” field.

Recommended timeline to review GPAS Degree Clearance report

We recommend running each of your programs (master’s certificate, doctoral, minor) at least three times per month:

  • The beginning of the month: See how many students have applied and determine if any students who should have applied are missing, or if any student needs to update their graduation month.
  • The middle of the month: See what requirements are still outstanding, and complete any necessary form submission (i.e. GPAS exceptions, etc.)
  • One to two days before the end of the month: Wrap up any remaining form submissions, grades, GPAS exceptions, etc.

Degree Applicant report

The Degree Applicant report lists students who have applied to graduate in the specified term and students whose degrees have been posted. Staff can use the report to analyze and track the status of all degree applicants. The Degree Applicant report contains information about students who:

  • Planned on graduating for the selected term
  • Applied for specific months within the applied graduation term
  • Applied to graduate since the last report
  • Have not cleared for their degree in the applied graduation month
  • Have been discontinued since applying for graduation

Official Degrees Granted report

Colleges, departments, and University administration can use the Official Degrees Granted report to confirm which students have been awarded degrees. The report lists all of the degrees that have been awarded for the specified college and term(s) with majors, minors, and sub-plans.

To access the Official Degrees Granted report, use the following path: Reporting Center > Student Services > Degree Clearance > Official Degrees Granted.
