Timeline

Project planning (June-July 2024)

Preparation for the start of the project following the completion of the contract between 25Live and the University.

Project kick off (July 2024)

The official start of the project. Project team members from both 25Live and the University work on configuration, integration, and testing of 25Live with University processes and data.

User acceptance testing (Spring 2025)

Once the project team has completed testing, select end users in the University community perform testing to validate the work of the project team and the system fulfills business requirements.

Training available (May 2025)

Required training available for those who will manage spaces in 25Live.

25Live go-live (June 17, 2025)

25Live available for the University community for classroom and event scheduling. All academic and event room scheduling will be done in 25Live.

Event scheduling updates

Event requests limited

As of Friday, November 1, 2024, events cannot be requested in Astra for dates greater than June 30, 2025.

This is to help improve the success of transitioning from Astra to 25Live. Event data, especially those with a multiple meeting pattern and repeating events, can be a challenge to properly convert between systems. In some cases, it may not be possible for a conversion and these events will need to be manually recreated in 25Live.

Exceptional cases may be considered by addressing the contact listed on the event request form, though approvals will be very limited.

Academic scheduling updates

Assigning departmental rooms

If you assign departmental rooms to classes in Astra, continue to do so through June 13, for:

  • Summer 2025
  • Fall 2025
  • Spring 2025

After 25Live launches on June 17, all academic room scheduling will be done there.

Training

Online training will be available about a month before go live. If you are required to complete training, you will be enrolled in the Training Hub course, and instructions will be sent in an email.

Training required

  • If you will schedule departmental spaces in 25Live for classes, meetings, and events

Training not required

  • If you will only make room requests in 25Live
